Welcome to the Commonwealth Heads of Government Meeting 2009 Cruise Ship Accommodations

The deadline for full payment and completion of reservations remains October 25, 2009 for existing reservations.
The Government of the Republic of Trinidad and Tobago has engaged two cruise ships to ensure that all those attending the Commonwealth Heads of Government Meeting have comfortable and convenient accommodation close to the Hyatt Regency Hotel, the main conference venue for the meeting.
Two ships, the Serenade of the Seas and the Caribbean Princess, will be berthed for the duration of the Meeting in the Port of Port of Spain within walking distance of the Hyatt Regency Hotel. A shuttle service will be provided from the ships to the main conference venue.
Cruise ship housing and reservations are similar to the hotel housing and reservation process however the ships have some different requirements and policies.
Reservations must be made in advance to guarantee accommodation and avoid processing delays. No one will be allowed on the ships without a reservation and full-payment.
Rooms on both ships will be available to Country Delegations. The Commonwealth Business Forum participants will be accommodated on the Serenade of the Seas, while media representatives will be accommodated on the Caribbean Princess.

Delegation Reservation and Payment Deadlines – REVISED AS OF OCTOBER 26, 2009
Reservations for rooms on the cruise ships can be made on-line, by fax or by phone. Please note the following:

All initial reservations must be requested by November 6, 2009. In order to hold the reservation a form of payment must be identified and a deposit of 20% be made. Rooms without deposits will be released after November 6, 2009;

For any reservations that are cancelled afterNovember 6, 2009, this 20% deposit will be forfeited.

Names and full payment must be received by November 16, 2009 for NEW reservations.

Acceptable methods of payment include: Certified Cheque, Wire Transfer and Credit Card (Visa, MasterCard, and American Express).
The online reservation system will be closed after October 25, 2009 for reservations received prior to this date and as such Delegation Secretaries will be allowed to view reservations online but not make any modifications to the reservations.
The online reservation system will be opened after October 25, 2009 up until November 16, 2009 for new reservations ONLY.
Assistance with cruise ship accommodation will remain available through the chogm2009@kinsleymeetings.com up until November 30, 2009. Requests for additional rooms or any queries relating to rooms already booked should be made through this email address.
Guests whose reservations are paid in full by November 16, 2009, but contain incomplete guest information will incur lengthy boarding delays on check-in at the cruise ship terminals. Delegation Secretaries are therefore advised to submit the names and arrival times for these delegates by this date to avoid further delays.
An on-site cruise ship reservation office will be located at the Office of the National Secretariat, International Financial Centre, Wrightson Road, Port of Spain, from November 16, to November 21, 2009.
Onsite accommodation desks will subsequently be opened at Cruise Ship Terminals 1 and 2 on the Port of Port of Spain, Trinidad. Terminal 1 will for be used for persons boarding the Serenade of the Seas cruise ship and Terminal 2 for the Caribbean Princess cruise ship.
The on-site accommodation desk for persons boarding the Serenade of the Seas will be opened on November 23, 2009 from 7:00 a.m. to 11:00 p.m. and for the Caribbean Princess, November 24, 2009 from 7:00 a.m. to 11:00 p.m.
Onsite accommodation help desks will also be located in the Northern Terminal of the Piarco International Airport, for persons arriving on commercial flights.
Delegations whose payments or rooms requests have been received after November 16, 2009 will be served through our onsite accommodation offices.
The National Secretariat offers no guarantee that there will be rooms available at our on-site accommodation office/desks, without advance reservation. Additionally, there is no guarantee of the availability of rooms in specific room categories.

Cancellation Policy

For any reservations that are cancelled after November 6, 2009, the 20% deposit will be forfeited..

Cancellations made after November 16, 2009 will forfeit 100% of payment.
The Serenade of the Seas and the Caribbean Princess are considered to be four-star hotels.
Listed below are some features of cruise ship housing:
Room Size: The average cruise ship room is a compact version of a hotel room with all the same amenities. Suites have a sitting area.
Occupancy: Rooms may be reserved on a single or double occupancy basis. There is a maximum of 2 persons per room.
Check-in Requirements: In order to check-in, guests must show the form of identification used to make their reservation.
Room rates include: Accommodation, meals (excluding specialty restaurants), shipboard gratuities for housekeeping and dining staff, government taxes and fees. All other charges, including any bar charges or mini-bar charges, are the responsibility of the guest and can be billed to the guest's personal Onboard Expense Account. Selected purchases may be made by cash or credit card.
Onboard Expense Account: In order to pay for onboard incidental expenses, an Onboard Expense Account will be created for each guest. To do so, each person is required to present a credit card upon check-in. In lieu of a credit card, a cash deposit can be placed on your account (minimum $US 100) . Traveler’s cheques and debit cards with a Visa or MasterCard logo may also be used. Accounts must be settled prior to check-out. Any unused deposits will be refunded.
